Who sees what
Brokerage admins sign in at desk.dealcopilot.ca. Each admin account is tied to one brokerage when we set it up, and the desk shows that brokerage's agents, offers and deals and nothing else. The link comes from the account itself, not from a setting or record the admin or an agent can edit.
Agents work in OfferCopilot and never see the desk. Your desk sees the offers your agents send and the deals they submit. A brokerage admin can't write offers.
When our support staff open your brokerage's desk to help you, they sign in as themselves, and everything they change is recorded under their own name.
A record of every decision
Every desk action, such as Needs attention, Approve, Settled or recording a back-office number, is recorded on the deal with who did it and when. Each submission keeps the checks it was sent with, so a resubmission never overwrites what the agent first submitted.
What the AI can and can't do
AI reads documents and email. It never decides a check, approves a deal or sends anything:
- Fixed rules decide each check. If something can't be confirmed, the check says unknown and the deal waits for a person.
- The text of an email is treated as untrusted. Alfred only picks among your brokerage's open deals, chosen by address, MLS number or agent before it reads anything.
- Every inbox suggestion waits for someone on the desk to apply it, and the server checks the deal and the step again when they do.
- Alfred never sends an email or chooses a recipient based on what it read.
Where your data is stored
DealCopilot runs on the same platform as OfferCopilot. Deal, offer and account records and uploaded files are stored in Google Cloud in Toronto (northamerica-northeast2). Sign-in, some AI processing and some outside services run in other regions. The full list of providers and regions is on the OfferCopilot security page, which covers both products.
Emails from the desk to your agents come from noreply@dealcopilot.ca and are sent through Brevo.
