The Workflow

How DealCopilot works.

What happens to a deal between the moment it goes firm and the moment your back office has it, and what each step looks like for your deal admins and for your agents.

01

The deal goes firm, and comes to your desk on its own.

Your agent writes the offer in OfferCopilot. When it goes firm and its checks pass, it is submitted to your deals desk without anyone emailing a PDF. If a check fails, the agent sees what's missing first and fixes it before it reaches you.

A deal written somewhere else can be imported into OfferCopilot. Forms found inside the uploaded agreement count toward your checklist, and the desk sees which file and page each one came from.

02

The paperwork is read and checked against your checklist.

You decide what a deal must include for each offer type and property type, limited to the forms your jurisdiction uses, plus items that aren't forms, like the deposit confirmation and FINTRAC records. Every document is read and compared with the deal and with each other:

  • Every required form is on file and signed.
  • A FINTRAC identification record exists for each client.
  • The deposit receipt matches the deal: who paid, how much and when.
  • The Form 320 names the same buyers, sellers and property as the agreement.

A check can come back unknown, for example when a scan can't be read. Unknown never counts as a pass: the deal waits until someone on the desk or the agent adds a note.

03

Your desk reviews one queue.

Each deal opens with the agent, the property, every document and every check. Mark it Needs attention with a note, and the agent gets an email saying what to fix. Their resubmission comes back to the queue with the earlier round kept, so you can see what changed. When it's right, approve it.

04

Deal mail sorts itself.

Connect your deals mailbox and turn on reading for the desk. Every 30 minutes, or when you click Check now, Alfred matches each new email to one of your open deals and suggests what it is: deal paperwork, a deposit confirmation, a lawyer's notice, a co-op commission payment, a back-office deal number. Attachments are lined up for the right slot on the checklist.

Nothing is filed and no status changes until someone on the desk clicks to apply it. Alfred never sends an email or chooses a recipient based on what it read.

05

The hand-off to your back office.

Send the deal package, with a filled Form 640 trade record summary, to your back office by email. Or open the export page and copy each detail into your back-office system, one button per field. Record the back-office deal number on the deal, and mark it settled when the commission arrives, or closed if it didn't close.

DealCopilot stops where your back office starts. Trust accounting, commission plans and disbursements stay in the system you use today.

06

The rest of the brokerage, in the same place.

The dashboard shows offers by stage and by agent, agents who haven't written a deal lately, and twelve months of results per agent. The Agents tab lists your offices and your agents by office: invite agents by email, approve joins and office moves, and remove someone who has left. Profile holds your brokerage's details, the default BRA terms and Schedule A, deposit instructions per office, your deal checklist, and your plan and usage.

For Agents

Your brokerage uses DealCopilot. Here's what changes for you.

Not much. You keep writing offers in OfferCopilot. The difference is what happens after the deal goes firm.

01

Join your brokerage.

Your brokerage invites you by email. Accept it in OfferCopilot, under Profile › Brokerage or during sign-up, and you're on its roster. If you join or change office yourself, the desk approves it first, unless your RECO record already shows you at that brokerage.

02

Firm deals submit themselves.

When a deal goes firm and its checks pass, it goes to your brokerage's desk. If something is missing, OfferCopilot shows you what before it's sent, so you fix it once instead of hearing about it later. Deals you wrote elsewhere can be imported and submitted the same way.

03

You hear back by email.

If the desk needs something, you get an email from DealCopilot saying what to fix. You'll get one when the deal is approved, and another when it's settled.

Your brokerage's desk sees the offers you send and the deals you submit: the records your broker of record is responsible for.
