Introducing DealCopilot: a deals desk that checks the paperwork first
Most deals desks spend their day chasing paperwork. An agent’s deal goes firm, and then the emails start: the signed agreement as one attachment, the Form 320 as another, a deposit receipt as a phone photo two days later, a FINTRAC record that never arrives. Someone at the brokerage opens each file, checks it against the deal and against the brokerage’s list of what a deal needs, and writes back about what’s missing.
DealCopilot does that first pass for you.
Firm deals arrive already checked
DealCopilot is the brokerage side of OfferCopilot. Your agents write their offers in OfferCopilot. When a deal goes firm and its checks pass, it goes to your desk on its own. If a check fails, the agent sees what’s missing first, before it reaches you.
The checks come from your brokerage’s own deal checklist. You decide what a deal needs for each offer type and property type: the required forms, the deposit confirmation, the FINTRAC records. Every document is read and compared with the deal and with the other documents. The Form 320 has to name the same buyers, sellers and property as the agreement, and the deposit receipt has to match who paid, how much and when.
Unknown is never a pass
AI reads the documents, but it doesn’t decide anything. Fixed rules decide whether each check passes. When a scan can’t be read or a value can’t be confirmed, the check says so, and the deal waits for a person. A deals desk is a compliance function, and a check that guesses is worse than no check at all.
One queue, from firm to processed
Your deal admins work from one queue. They can mark a deal Needs attention with a note, and the agent gets an email saying what to fix. They can approve it, send the package and Form 640 trade record summary to your back office, and mark it settled when the commission arrives. Every action is recorded on the deal with who did it and when.
If you connect your deals mailbox, Alfred matches each incoming email to its deal and suggests where its attachments go. Nothing is filed until someone on the desk clicks to apply it.
Where it stops
DealCopilot doesn’t replace your back office. Trust accounting, commission plans and disbursements stay in the system you use today. The desk’s job is to get every deal there complete and checked.
